Responses are recorded even if the survey is not completed
When a respondent responds to any question in the survey, the response is immediately recorded in response data. Respondents do not need to complete the entire questionnaire or submit their responses for them to be recorded.
In the Questionnaires dashboard, you can see a quick view of the respondents to the survey. This is a total, combining responses from those respondents who may not have completed the entire survey and those who did.
To look at these numbers in more detail, go to the analysis tool.
The first chart in the analysis tool shows you the visitor and respondent numbers. Click the chart to expand it.
| Total visitors | Everyone who visited the questionnaire (incl. people who did not interact with any of the questions) |
| Respondents | People who responded to at least one question in the survey. This includes Submitted respondents but also those who did not complete the survey. |
| Submitted respondents | People who responded to at least one question and clicked "Submit" on the last page (usually indicates that the survey was completed, even if some questions were skipped) |
How can I find out where people dropped out?
Each question chart in the analysis tool includes information about how many people in total answered the question and how many of those also submitted the survey. By comparing these numbers across questions, you can easily tell where the drop happened.
Visitors Over Time
The Visitors over time graph shows when people interacted with your survey. Click the graph to edit the time range and other settings, and to download the graph as an image.
How can I find out the total number of respondents in the Excel file?
The number of rows in your Excel spreadsheet's first tab (Respondents) corresponds to the number of people who answered at least one question in the questionnaire. The Excel file does not contain those people who just opened the questionnaire but did not interact with any other questions (= bounce visitors).
What does 'Submitted' mean? Why didn't all respondents submit their responses? Does this mean that some respondents did not answer all questions?
Submitted means that the respondent clicked the Submit button on the last page of the questionnaire. The button does not need to be clicked for responses to be recorded, as they are saved immediately when a respondent interacts with the question.
In the analysis tool, you can filter out all respondents who did not submit their responses. Under charts for each question, you can also see how many people responded to each question.
In the Excel sheet of results, the column titled Submitted tells you how many respondents clicked it (TRUE) or did not (FALSE).
When using UTM trackers in your survey
- Excel Export: Normally only includes people who answered at least one question. However, if a UTM link is used, this visitor is now listed even if they exit immediately. This is often caused by email security bots "scanning" your link before a real person opens it.
- Analysis Tool: Shows all traffic, including bounce visitors.
