Quick Guide to Reporting and Sharing Survey Data

Generate a full report using AI

For a narrative report with tag-based analysis and cluster analysis of open-text answers — not just charts — go to the analysis tool and select "Generate AI report" from the AI menu. See this article on report generating, which covers generation, reviewing/adjusting tags, and exporting in detail.

You can also export survey data + context in an AI-friendly .txt format from Export if you want to use another AI software. See Export survey data and take it to an AI platform (txt export)

Publish the AI report online

In addition to exporting the AI report as a PDF/PPTX, you can publish it as a webpage without needing to actually build a page from scratch. See Generate a survey results report using AI

Downloading charts as a Word document

For a quick static export of just the charts you're looking at:

  1. In Analyze, select the charts you want to include, and filter/visualize them the way you want them to appear.
  2. Click Save view.
  3. Open the Saved view menu and click the download icon (arrow down) next to the view you saved.

  4. Select Microsoft Word and click Create. A .docx downloads to your computer, which you can convert to PDF yourself if needed.
Sharing charts and maps on a Project Page (Communicate+ plans)

Designed to close the feedback loop and allow stakeholders to see what the community thinks! Can be implemented while the survey is still live or once it has closed.

Unlike a Word export, a Project Page embed stays live and can be refreshed as new responses come in.

Add a chart to a project page:

  1. Select and visualize the chart you want to show.
  2. Click Export and choose Maptionnaire page element, then save it.
  3. On the project page, add a Chart or Columns element from the element library (if Columns, set its type to Chart).
  4. Pick the questionnaire, then the chart, and preview.

Add a response map to a project page:

  1. In the analysis tool, prepare the map view you want to show.
  2. If you want pins/lines/areas to be clickable and reveal their comment when clicked, add those questions under Charts first.
  3. Save the map and those questions together in one view.
  4. On the project page, add Response map from the element library, pick the survey and the view, choose your visualization options and whether comments should show on click, then preview and publish.

Keeping a Project Page up to date

To refresh every chart on the page at once, go to the Project Page and click the chart icon on the right — this pulls in the latest survey data for all embedded charts and maps in one click. To update just one chart, go back to it in the analysis tool and use Export chart → Maptionnaire page element again.

Give view-only access to the analysis tool

To let someone outside your team (e.g. a client) browse the full dataset in the analysis tool itself (rather than a curated Project Page that is published online):

  1. Click the share icon next to any saved view.

  2. Enter their email, choose how long access should last, and click Send invitation. Optionally copy the link to a specific saved view so they land somewhere useful instead of a blank tool.

They'll need to register a Maptionnaire account to view the data (for security), but they are not added to your team, and once in, they can switch between all of your saved views — not just the one you sent. If you only want to share only part of the data, exporting the part of the data as a Word/Excel file or publishing it as a Project Page is the better fit.
